NAP stands for Name, Address, Phone. When those three details differ across your website, Google Business Profile, JustDial, IndiaMART and thirty other directories, Google has to guess which version is real. Guessing costs you map pack visibility. A NAP consistency checklist fixes that with one stretch of focused work, and it is one of the lower cost local ranking jobs available to most Indian businesses.
This guide covers the canonical NAP decision, the places variation hides, the audit itself, and the quarterly routine that stops the mess returning. Our team runs this cleanup early in most Google Business Profile management engagements, because ranking work built on a confused entity wastes budget. None of it needs a paid tool. It needs one decision, one spreadsheet, and patience.
What is NAP, and why does inconsistency confuse Google?
NAP is the Name, Address and Phone number that identify your business as one entity across the web. Google matches those strings between your site, your profile and third party directories to confirm you are real and locally present. When the strings disagree, confidence drops and your listing gets shown less often.
Google builds an entity record for your business by collecting mentions of it. Your website, your profile, directory pages and social pages all feed that record. Matching details reinforce one entity. Conflicting details create doubt, and sometimes a second half-formed entity that competes with the real one.
The symptom is boring. Your listing shows up for your brand name but rarely for the service searches that bring new customers, and a stale duplicate with an old address occasionally outranks you. Cleaning NAP does not by itself put you in the top three. It removes a blocker that map pack ranking work cannot get past on its own.
Pick one canonical NAP and freeze it
Before you correct anything, decide what correct looks like. Write one canonical block and treat it as the only permitted version. Every form, invoice, footer and directory entry copies from it. Skip this step and a cleanup simply replaces old inconsistency with new inconsistency.
Use the name on your signboard and your GST registration when they agree. If your legal name is a private limited entity and customers know a shorter trading name, publish the trading name and keep the legal name for invoices and contracts. Do not bolt a city or a service onto the name to help rankings. Google treats that as name stuffing, and it is a common trigger behind a profile suspension.
Here is a canonical block, written the way ours sits in our own operations document:
- Business name: RadhaKrishna Web Solutions
- Street and locality: Gurudwara Colony, Akurdi
- City and state: Pimpri-Chinchwad, Pune, Maharashtra
- PIN code: 411035
- Phone: +91 70962 91214
Note what is not in it. No tagline, no service keyword, no second mobile number, no alternate spelling of the locality. We work with clients across Pimpri-Chinchwad and well beyond it, and the address still reads exactly as the postal record does.
Settle the small choices once. Road or Rd, plus 91 country code or not, unit number before or after the building name. Then stop deciding them and put the block in a shared document that anyone filling a form can copy from.
Where inconsistency actually comes from
Nobody sets out to publish four versions of an address. It accumulates quietly. A staff member fills a directory form from memory, an old lease ends without anyone touching the listings, a new branch adds its locality to the brand name, and a vendor publishes the mobile number of whoever signed the paperwork.
| Source of variation | What it looks like in the wild | How to fix it |
|---|---|---|
| Old office listings | A directory page still showing the address you left three years ago | Claim the listing and update it, or request removal if that location is gone |
| Branch and franchise naming | Brand Akurdi, Brand Pune Akurdi and Brand PCMC branch all live at once | One naming pattern for every branch, each with its own page on your site |
| Unit, shop and floor numbers | Shop 4 on one listing, Unit 4 on another, missing on a third | Pick one label and keep it in the same address field everywhere |
| Abbreviations and spellings | Rd against Road, Opp. against Opposite, two spellings of the same locality | Expand everything the same way and match the postal spelling |
| Phone numbers | An old landline, a former salesperson's mobile, a tracking number set as primary | One primary number everywhere, tracking numbers only in the secondary field |
That last row causes a lot of damage in India, because listings get created with whichever mobile number was active that day. Staff change. The number stays published. Prospects call it, nobody picks up, and Google sees a phone number that matches nothing else you own.
Why does a suite number or an abbreviation matter so much?
Small formatting differences usually matter less than people assume. The damage comes from mismatched data: a wrong floor, a dead phone line, a different premise number, a name with a keyword attached. Those read as two businesses rather than one, and they split the trust between them.
So spend effort in the right order. Wrong phone numbers and wrong addresses first, name variants second, formatting third. Formatting still earns its place for a practical reason: when everything matches a single canonical string, the entries that do not match jump out of a spreadsheet in seconds.
The NAP consistency checklist to run this quarter
Set aside two working sessions. In the first, find everything. In the second, fix what you control and file corrections for what you do not. Work from one sheet so two people never edit the same listing twice.
- Search your brand name, your old phone numbers and your previous address, and list every result showing business details.
- Check your footer, contact page and schema markup against the canonical block, character by character.
- Open Google Business Profile and confirm name, address, PIN code, primary phone and categories.
- Check the large Indian directories: JustDial, IndiaMART, Sulekha, and any trade body or association listing you hold.
- Check Facebook, the Instagram bio, your LinkedIn company page and your WhatsApp Business profile.
- Check invoices, your UPI and Razorpay payee name, and the address on your GST registration.
- Record every mismatch in one sheet with the URL, the wrong value and the person who controls that login.
That last column is where cleanups stall, so fill it honestly, including the rows where the answer is a former employee or an agency you stopped working with. Those become claim requests, not edits.
Directories are not equal in value. Start with the ones that send real traffic and get read by data aggregators, then work down the list; our roundup of Indian citation sites gives a sensible working order. If the audit runs past sixty rows and nobody on your team owns it, talk it through with our team before you start clicking.
How do you fix listings you no longer control?
Start by claiming. Most Indian directories let you claim a page by verifying against the phone number already published on it, which is exactly why you keep old numbers active until the cleanup finishes. Where claiming fails, use the site's correction or report form, then follow up in writing.
- Fix your own website first, including the footer, contact page and local business schema.
- Update Google Business Profile next, since aggregators and smaller sites often copy from it.
- Correct what your business hands out: invoices, email signatures, WhatsApp Business, ad extensions.
- Claim and correct directories in order of traffic value, not alphabetically.
- Report duplicates on Google Maps as duplicates, and only mark a location closed if it genuinely closed.
- Log every submission with a date, then recheck the whole sheet three to four weeks later.
Two cautions from doing this repeatedly. Never mark a duplicate as permanently closed, because that status can carry across to your live listing and it is painful to reverse. And keep the old numbers connected until the last correction lands, or you will lose the only verification route you had.
Quarterly maintenance that keeps the record clean
NAP does not stay fixed. Offices move, branches open, someone buys a new SIM for the sales desk. Treat the audit as a recurring task rather than a project, and it stays a short quarterly check instead of a long annual clean up.
Add three triggers that force a check outside the quarterly cycle: an address change, a phone number change, and a new branch. Whoever signs the lease or buys the number is the person who tells marketing. Write that into the process, or it will not happen.
In our delivery method this sits in the Optimise stage, next to review monitoring and profile posting. Local SEO in India runs roughly Rs 15,000 to Rs 40,000 a month, and NAP hygiene is a small part of that scope rather than a separate purchase. If you keep SEO work in house, schedule the check in the same slot as your local SEO checklist review.
One honest limit. We do not guarantee rankings, and you should be wary of anyone who does. Clean NAP data removes doubt from your entity, and what you do afterwards with categories, reviews, service pages and photos decides whether you actually move.
Frequently asked questions
How long do NAP corrections take to show up in Google?
Your own site updates as soon as Google recrawls it, usually within days. Directory changes depend on that site's moderation queue, and some take three to four weeks. Google Business Profile edits are sometimes instant and sometimes go for review. Recheck the full sheet about a month after you submit.
Does fixing NAP on its own improve my map pack ranking?
Not on its own. It removes a source of doubt so your other signals count properly. Distance from the searcher, your primary category, review volume and recency, and the strength of your service pages do the ranking work. Nobody can promise a position, whatever they claim.
We serve a city where we have no office. What address do we use?
Your real one. Do not create a listing at a coworking desk or a relative's flat you do not staff, because that is a suspension risk and it is easy to spot. Use service area settings on your profile and a genuine city page on your website. We serve Vadodara clients from our Pune office exactly that way.
Should my website phone number match Google Business Profile exactly?
Yes, for the primary number. Use one format, including the country code, in your footer, contact page and schema markup. If you run call tracking, keep the tracked number in the secondary number field on your profile and leave the primary number untouched.
Where to start this week
Write the canonical block today. It takes ten minutes and it is the only part that needs a decision maker in the room. Everything after it is clerical work that one organised person can carry to the end.
Then search your brand name, your old phone number and your previous address, and write down what you find. Most owners are surprised by how long the list turns out to be. If the list is long, or the logins are gone, tell us what you are dealing with and our team will reply within one business day with a scope, a timeline and a straight view on what is worth fixing.
